# Setting Up Your Zoom Calls
#### **Why Zoom:**
Zoom is essential for our team to be able to track attendance automatically, and ensure your student is attending calls and you are paid correctly.
**IMPORTANT:** Please you are still expected to **log your call notes, feedback, and attendance in the "Calls" tab in your mentor dashboard** after your student calls. This will ensure the internal Springboard teams have access to valuable information about student progress or flags from week to week
**Get ready:**
- Make sure you have a Zoom account (if you are not a Zoom user yet, install [Zoom](https://zoom.us/download) and create a free user account). Read the "[Setting up Zoom client](https://help-center.springboard.com/hc/en-us/articles/14972533825428?hsLang=en)" article
- Get accustomed to the platform and explore the [running-chat feature](https://support.zoom.us/hc/en-us/articles/360056768612-How-to-use-Zoom-Chat#accessing-chat) and [whiteboard](https://support.zoom.us/hc/en-us/articles/4410916881421-Getting-started-with-Zoom-Whiteboard)

**Join the Zoom call:**
Each scheduled call with **its unique Zoom link** **appears on your mentor dashboard calendar and personal calendar, but not on Zoom**. Joining the call from Zoom isn't possible.
There are two ways to join the call, and both options will work to ensure the call is recognized by our system.
1\. Click on the “Start call on Zoom” button on your mentor dashboard (see below),
**OR**
2\. Join the Zoom call using the link from your Google Calendar event.
The calls should sync automatically with the calendar associated with the email address you used to create your Springboard.com account. Merging calendars works on Google and Outlook calendars. If your email is on a platform that does not support a calendar, you may be able to create a Google account to sync your calls to an external calendar. Otherwise, you can simply rely on the calendar on your Springboard.com account.
If none of these 2 options work, please contact your mentee and agree on an alternative platform to use until the issue is resolved. After the call, please manually log in your attendance on the "Weekly calls" tab of your mentor dashboard and email us at [mentors@springboard.com](mailto:mentors@springboard.com).
**The running-chat feature:**
Zoom has a [Zoom’s running-chat feature](https://support.zoom.us/hc/en-us/articles/360056768612-How-to-use-Zoom-Chat#accessing-chat) (different from the in-call chat which is not saved after the call ends) that's a bit less obvious to access and use than other video-call platforms. We encourage you to use it or any other mode you and your mentee(s) prefer.
**Use Zoom Whiteboard to capture ideas, processes, and concepts**
To enable this feature, go to the Zoom settings. Read [more information from the Zoom website](https://support.zoom.us/hc/en-us/articles/4410916881421-Getting-started-with-Zoom-Whiteboard)
- You or the student can [create a whiteboard and share it](https://support.zoom.us/hc/en-us/articles/4410916881421-Getting-started-with-Zoom-Whiteboard) for collaboration
- Students can save/export the whiteboard screenshot before the call ends
- The whiteboard copy will remain with the user who has created it originally
**Having Zoom issues:**
Zoom Bug
If Zoom is down, please agree with your mentees on the use of an alternative platform until Zoom is back online. Please, exceptionally log your call manually on your mentor dashboard and email us at mentors@springboard.com to ensure that the call counts correctly towards your pay.
**Call Reschedule**
When you or your student reschedule a call, the new call event will be treated as a normal call with its own Zoom link. Please click on this new link to access the call.
